Our long-time non-profit client, Northeast Arc, needed multilingual training videos with ASL versions to support new software launch, helping staff get up to speed quickly and ensuring clients could use the platform effectively.

The Solution

  • Pre-Production: GraVoc coordinated with Northeast Arc to script introductions, plan filming logistics, and ensure all language and accessibility needs were addressed.
  • Production: Employee introductions were filmed against a green screen for client videos and ASL. Five staff members participated in multilingual introductions.
  • Post-Production: GraVoc handled editing, ASL interpretation recording, and final assembly. The English versions were finalized first, streamlining subsequent language versions.
  • Delivery: All videos were archived, exported, and delivered in a format ready for Northeast Arc’s digital platforms.

The Challenge: High Production Volume, Tight Timeline.

GraVoc has been a long-time supporter and partner of Northeast Arc. Over the years, we have collaborated with them on multiple projects, including the recent launch of their eCommunity Connections website – a centralized digital hub of resources and events for their community. Our team is always eager to use our expertise to support Northeast Arc in expanding the reach of their services or programs. So, when they approached us to create a multilingual, accessible video library of training content for their clients and staff – on a 6-week timeline – we were excited to get started.

Northeast Arc needed these training videos to support the launch of new software. They wanted to provide clear, easy-to-follow training so staff could quickly get up to speed on the platform, while also making sure clients could use it with confidence. Accessibility was especially important given that much of their client base includes many individuals for whom English is not the primary language. To meet the needs of their diverse community, these training materials had to be delivered in multiple languages.

The Solution: Strategic, Multilingual, Accessible Video Production

This project was a heavy lift that required careful logistical and technical planning on both ends. Northeast Arc employees had to participate in the videos as a grant requirement, meaning staff needed to be available for on-camera introductions in multiple languages. We also had to manage translation and ASL interpretation, making sure all content remained consistent across languages.

GraVoc’s video production team worked closely with Northeast Arc to schedule filming over just two half-days to accommodate their staff’s schedules.

Project planning & filming on a tight schedule

To keep such a large project on track, we began with a detailed project plan and assigned a dedicated video producer to manage all assembly for consistency and efficiency.

We filmed four of the five staff members who provided introductions for all videos in each language, all within a single day at GraVoc’s state-of-the-art media production studio. Similarly, the ASL interpretations for the English versions were filmed in a single day.

Translations and voiceovers were produced in parallel with English edits, so additional language versions could be assembled quickly without delaying delivery.

Maintaining consistency across video content & translations

Producing 52 videos in different languages meant one of the key challenges was keeping everything consistent. It was important for us to get the translations right to ensure zero compromise on the clarity and impact of the content for each viewer.

The English scripts for each training topic were sent to a professional translation service, which provided both written translations and recorded audio voiceovers. Once our team assembled the videos using these translated assets, native speakers at Northeast Arc carefully reviewed each version to ensure accuracy and quality.

In just six short weeks, we helped Northeast Arc build a multilingual library of 52 training videos – complete with ASL interpretations – that their team and clients can access anytime. These videos will also help Northeast Arc ensure better user adoption of the software and ease of use.
